Privacy policy

How TFP universal a.s. handles personal data in the service portal opravy.swtfp.cz (repairs, warranty claims, preventive maintenance and customer accounts).

What we process

• contact details: name, e-mail, phone, address, company and company ID,
• device and fault details, attachments you send (photos, invoices), work and parts used,
• the name and signature confirming a maintenance visit,
• portal account: name, e-mail, password (stored only as a one-way hash), optional two-factor authentication and profile picture,
• technical data: IP address and browser when a form is submitted, sign-in records.

Why and on what legal basis

• handling your repair, claim or maintenance visit — performance of a contract (Art. 6(1)(b) GDPR),
• warranty records, invoicing and accounting — legal obligation (Art. 6(1)(c)),
• service history of devices and security of the portal — legitimate interest (Art. 6(1)(f)).

How long we keep it

• Contact details, signatures and attachments of a repair or maintenance visit: 3 years after the repair is closed or the visit took place. After that they are deleted automatically; the technical record of the device (serial number, fault, company) stays without personal data.
• Portal accounts: 3 years after last use (sign-in, repair request or portal request). We send an e-mail 30 days in advance — signing in keeps the account.
• Signed protocols and other invoicing documents: for the period required by accounting and tax law (10 years from the end of the year they were issued).
• Sign-in records: 90 days. Backups: deleted data disappears from backups gradually, within about two months.

Who receives the data

Only processors we need to run the service: the hosting provider of our server, the e-mail provider and the cloud storage used for backups (Google Drive). A device manufacturer receives only device details needed for a warranty repair. We do not sell data or use it for marketing.

Your rights

You have the right to access your data and receive a copy, to rectification, erasure, restriction of processing, data portability and to object. Write to info@tfpuniv.cz; we will respond within one month. Some data cannot be erased while a repair is in progress or while the law requires us to keep it. You may also lodge a complaint with the Czech Office for Personal Data Protection (uoou.gov.cz).

Cookies

The portal uses only the cookies it needs to work (sign-in session, language). No analytics or advertising cookies.
